Client Financial Coaching Agreement

1. Introduction

This agreement outlines the terms and conditions under which Manna Financial Freedom will provide financial coaching services to you and also explains how we handle your personal data in compliance with the UK General Data Protection Regulation (UK GDPR). By entering into a coaching relationship with us, you confirm that you have read, understood, and agreed to the terms outlined in this document.

2. Scope of Services

Manna Financial Freedom offers personal financial coaching with a focus on helping clients:

  • Understand their current financial situation

  • Create realistic budgets

  • Set and work towards financial goals

  • Develop positive financial habits

  • Learn foundational financial principles using the M.A.N.N.A Framework

 

These services are designed for educational and coaching purposes only. We do not provide regulated financial advice or specific product recommendations. Should regulated advice be required, this can be offered by Natasha Smith separately through Throgmorton Private Capital Ltd.

Coaching services may be delivered through one-on-one sessions (virtual), group workshops, written resources, and email/telephone communication.

Services are available to clients aged 18 and over. Clients under 18 require parental/guardian consent and participation in all sessions.

3. Client Responsibilities

As a coaching client, you agree to:

  • Participate actively and honestly in coaching sessions

  • Take full responsibility for your own decisions and outcomes

  • Communicate with your coach between sessions as needed, particularly regarding challenges or questions related to your action plans

  • Respect scheduled session times and the terms of your selected package

  • Ensure you have a reliable internet connection and appropriate device for virtual sessions

You acknowledge that coaching is a collaborative process and that your results depend on your personal commitment and effort. Manna Financial Freedom does not guarantee any specific financial outcomes.

4. Package Terms & Conditions

To ensure consistency and fairness across all services, the following terms apply:

4.1 Validity & Usage Periods

  • Clarity, Momentum, and Breakthrough Packages must be used within 6 months of the first session.

  • Freedom Journey Package must be used within 15 months of the first session.

  • Sessions not used within these timeframes will be forfeited unless an extension is agreed in writing.

Package Extensions:

  • Extensions may be granted in exceptional circumstances (e.g., serious illness, bereavement, or unavoidable emergency)

  • Extension requests must be submitted in writing at least 2 weeks before the package expiry date

  • Extensions are granted at the coach's discretion and may incur an administrative fee of £25

  • Standard extensions are for up to 3 months

4.2 Session Scheduling & Rescheduling

  • Clients are responsible for scheduling their sessions promptly

  • We recommend booking all sessions in advance to ensure availability

  • Sessions may be rescheduled with at least 24 hours' notice at no charge

  • Sessions cancelled or rescheduled with less than 24 hours' notice will be forfeited and counted as used

  • Emergency exceptions may be considered on a case by case basis (e.g., sudden illness, family emergency)

4.3 Virtual Session Technology

  • Sessions are conducted via Zoom (link provided upon booking)

  • Clients need: stable internet connection, device with camera/microphone, and quiet, private space

  • If technical difficulties occur, we will attempt to reconnect for up to 10 minutes; if unresolved, the session will be rescheduled at no charge

  • Recordings of sessions are not provided unless specifically agreed in writing

4.4 Payment Terms

  • Packages must be paid in full 48 hours before the first session, unless a payment plan has been arranged

  • Payment is accepted by bank transfer or via the Square payment link provided

  • Payment Plans: Available through Clearpay via our payment system. Clearpay allows you to split payments into instalments according to their terms. The first instalment must be processed 48 hours before your first session. You remain responsible for all Clearpay payments even if you do not complete your coaching package

  • Sessions cancelled with less than 24 hours' notice will be forfeited (not refunded)

  • Packages are non-transferable and must be used by the named client(s) within the agreed time period

  • Non-refundable: Payments are non-refundable after the first session has taken place, except under exceptional circumstances as determined by Manna Financial Freedom

  • Manna Financial Freedom reserves the right to update or amend package features, pricing, and availability at any time without prior notice

  • Any changes will not affect packages already purchased or sessions already booked

  • We are committed to maintaining the quality and value of all coaching services provided

Special Offers: From time to time, Manna Financial Freedom may offer promotional pricing, limited-time packages, or special rates. These offers will have their own specific terms and expiry dates, which will be clearly communicated at the time of promotion.

4.5 Cooling-Off Period

In accordance with UK Consumer Contracts Regulations, you have the right to cancel your package within 14 days of purchase for a full refund, provided no sessions have taken place. If you wish to begin coaching within the 14-day cooling-off period, you expressly agree to waive your right to a full refund, and any refund after this point will be at the discretion of Manna Financial Freedom based on the circumstances.

4.6 Package Details

Specific details of available coaching packages, including number of sessions, features, and pricing, will be provided separately at the time of enquiry or booking. Package inclusions are tailored to meet individual client needs and may be subject to updates to ensure the highest quality of service.

Definition of "Couple": Couple sessions are for two individuals sharing finances (married, cohabiting, or in a committed relationship). Both parties must attend all sessions together unless otherwise agreed with the coach.

 

Between-Session Support (where included in package):

  • Available Monday–Friday, 9am–5pm (excluding UK bank holidays)

  • Responses typically provided within 48 hours

  • Support is for brief questions, clarifications, and accountability check-ins

  • Complex issues requiring detailed analysis will be addressed in scheduled sessions

  • Emergency financial decisions should not rely solely on between session support

5. Confidentiality and Data Protection

Manna Financial Freedom respects your right to privacy. This section explains how we collect, use, store, and share your personal data.

5.1 What Information We Collect

We may collect and process the following personal data:

  • Identity data: Name, date of birth, National Insurance number, marital status

  • Contact data: Postal address, email, phone number

  • Financial data: Income, expenditure, bank details, assets, debts, financial goals

  • Lifestyle and employment data: Occupation, employer, lifestyle habits relevant to financial planning

  • Verification data: Copies of ID or utility bills, if required

  • Session data: Notes from coaching sessions, action plans, and communications

5.2 How We Collect Information

Your data is collected via:

  • Coaching questionnaires and intake forms

  • Email and phone communications

  • Coaching sessions (online or telephone)

  • Public sources (e.g., Companies House, electoral roll) where relevant

5.3 Purpose of Data Collection

We collect and use your data for the following purposes:

  • To provide effective and tailored coaching services

  • To assess progress toward your goals

  • To meet legal or compliance obligations (e.g., tax records)

  • For internal analysis and service improvements (using anonymised and aggregated data only)

We will not use your data for marketing purposes without your explicit consent.

5.4 Lawful Basis for Processing

Under UK GDPR, we process your data based on one or more of the following:

  • Contractual obligation – to fulfil our coaching agreement

  • Legal compliance – for tax or regulatory requirements

  • Legitimate interest – to run and improve our coaching services

  • Consent – where you have explicitly agreed (e.g., testimonials, marketing)

5.5 Data Sharing

Your data is kept strictly confidential. We will not share your information with third parties unless:

  • It is necessary for delivering your coaching (e.g., scheduling software, invoicing tools)

  • We are required to do so by law (e.g., HMRC)

  • You give explicit written consent

All third-party service providers we use are GDPR-compliant and process data only under our instruction.

5.6 International Transfers

We do not routinely transfer your data outside the UK or EEA. If we ever need to (e.g., cloud storage providers), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or equivalent protections.

5.7 Data Storage and Retention

Your data will be:

  • Stored securely on password-protected, encrypted systems

  • Retained for up to six (6) years after the coaching relationship ends, in line with HMRC guidance for financial records

  • Deleted or anonymised thereafter unless longer retention is required for legal reasons

5.8 Your Data Rights

You have the right to:

  • Request access to your personal data

  • Request correction of incomplete or inaccurate data

  • Request erasure (under certain circumstances)

  • Object to or restrict processing

  • Request data portability

  • Withdraw consent where applicable

6. Cancellation and Termination

  • You may cancel your coaching engagement at any time by providing written notice to natasha@mannafinancial.co.uk

  • Refunds for unused sessions are at the discretion of Manna Financial Freedom and subject to the terms of your selected package

  • Manna Financial Freedom reserves the right to terminate the coaching relationship if:

    • The coaching relationship is no longer productive or beneficial to the client

    • The client behaves in a manner that is disrespectful, abusive, or threatening

    • The client repeatedly fails to attend scheduled sessions without notice

    • There is a breach of these terms and conditions

In the event of termination by the coach, a pro-rata refund for unused sessions may be offered at the coach's discretion.

7. Limitation of Liability

Manna Financial Freedom shall not be held liable for any direct or indirect loss, injury, or damage resulting from your reliance on the information provided in coaching sessions. You remain solely responsible for your financial decisions.

We do not offer regulated investment advice. If this is required, it will be provided separately through Throgmorton Private Capital Ltd.

Manna Financial Freedom carries professional indemnity insurance to protect both parties in the delivery of coaching services.

8. Dispute Resolution

In the event of any dispute or disagreement arising from this agreement, both parties agree to:

  1. First attempt resolution through good-faith discussion directly with each other

  2. If unresolved, consider mediation through an independent third party

  3. Only pursue legal action if the above steps have been exhausted

This approach aims to resolve issues efficiently and maintain a respectful professional relationship.

9. Accessibility and Reasonable Adjustments

Manna Financial Freedom is committed to making coaching services accessible to all clients. If you require any reasonable adjustments to participate fully in coaching (e.g., due to disability, neurodivergence, or other needs), please inform us so we can accommodate your requirements wherever possible.

10. Client Declaration and Agreement

By signing below, you confirm that:

  • You have read and understood this Client Agreement and Data Protection Notice

  • You consent to the lawful processing of your data as described

  • You understand the nature and scope of the coaching services

  • You agree to the terms outlined above

  • You are 18 years of age or older (or have parental/guardian consent if under 18)

 

11. Marketing Preferences

At Manna Financial Freedom, we occasionally send out helpful resources, newsletters, event invitations, and updates on new services or workshops that we believe may support your journey toward financial freedom.

We respect your privacy and will only send you marketing communications if you consent.

We will never sell or share your personal information with third parties for marketing purposes.
